1. Purpose of This Policy
This Delete Account Policy explains how TribeBoard users may delete their accounts and associated data.
This Policy is designed to support user control, privacy rights, Apple App Store requirements, Google Play requirements, South African POPIA rights, GDPR rights where applicable, and other applicable data protection obligations.
This Policy should be read together with the TribeBoard Privacy Policy v4.1, TribeBoard Terms of Service v1.1, TribeBoard Child Safety Policy v1.1, TribeBoard Cookie Policy, and any applicable School Data Processing Addendum.
2. In-App Account Deletion
TribeBoard provides an in-app account deletion option for all registered users. This mechanism is available unconditionally at all times.
To delete your account in the TribeBoard app:
- Open the TribeBoard app.
Go to Settings.
Select Account.
Tap Delete Account.
Review the deletion warning and the list of data that will be permanently removed.
Confirm that you want to delete your account.
Once confirmed, your account will be queued for deletion within 30 days, subject to the exceptions in Section 13.
3. Email-Based Account Deletion Request
If you cannot access the app, or if you have already uninstalled the TribeBoard app, you may request account deletion by email.
Send your request to: privacy@tribeboard.app
Your email should include:
- Your full name
- The email address linked to your TribeBoard account
A clear statement that you want your TribeBoard account deleted.
For security reasons, TribeBoard may require identity verification before processing the deletion request.
Response timeframe: TribeBoard will acknowledge email deletion requests within 5 business days of receipt. Where the request is valid and identity has been verified, deletion will be completed within 30 days. This timeframe is consistent with TribeBoard’s data subject request procedures under POPIA and GDPR.
This email address (privacy@tribeboard.app) is accessible without the TribeBoard app installed, satisfying the requirement under Google Play’s Data Safety policy for a web-accessible data deletion option. You do not need to reinstall the app to request deletion of your account and data.
4. What Account Deletion Removes
Account deletion will permanently remove or deactivate:
- Your user account and login credentials
- Your profile information
- Your household membership records
- Child Profiles linked to your account
- Journey history and location logs linked to your account
- Calendar entries, reminders and grocery lists
- Activity records
- Uploaded content
- App preferences
Push notification tokens.
Where you are the sole household administrator, deletion of your account may affect household access, Child Profiles, family group records, and other related household data.
5. Child Profiles and Household Data
If your account manages Child Profiles, deletion will remove those Child Profiles and associated child-related data linked to your account, subject to legal retention requirements.
Where Child Profiles are also linked to another parent, guardian, school, or authorised organisation, some information may remain available to those authorised users where lawful and appropriate.
If there is a dispute regarding authority over a Child Profile, TribeBoard may temporarily restrict deletion or access while verification is carried out, in accordance with the Child Safety Policy v1.1.
6. What May Be Retained After Deletion
Certain information may be retained after account deletion where necessary for lawful reasons. This may include:
- Billing and transaction records
- Tax and accounting records
- Security logs and audit records
- Fraud prevention records
- Legal compliance records
- Records required to resolve disputes
- Records required for child protection or safety purposes
Records required to investigate misuse of the platform.
Retained information will be limited to what is reasonably necessary and will not be used for ordinary active account features.
7. Deletion Timeframes
After you confirm deletion, TribeBoard will take the following steps:
- Active account deletion: within 30 days of confirmed deletion request
- Backup deletion: within 90 days
- Billing records: retained for up to 7 years where required by South African tax law
Security and audit logs: retained for up to 24 months where necessary.
Some data may be deleted sooner depending on technical and legal circumstances. These timeframes are consistent with the Privacy Policy v4.1 and Terms of Service v1.1.
8. Subscriptions and Billing
Account deletion does not always automatically cancel active subscriptions. The effect depends on how you subscribed.
8.1 Apple App Store Subscriptions
If you subscribed through the Apple App Store, deleting your TribeBoard account does not automatically cancel your Apple subscription. You must cancel separately through your Apple ID settings:
- Settings → [Your Name] → Subscriptions → TribeBoard → Cancel Subscription.
Apple manages billing and refunds for App Store subscriptions. TribeBoard cannot issue refunds for App Store purchases.
8.2 Google Play Subscriptions
If you subscribed through Google Play, deleting your TribeBoard account does not automatically cancel your Google Play subscription. You must cancel separately through your Google Play account. Google manages billing and refunds for Google Play subscriptions.
8.3 Stripe or Direct Billing Subscriptions
If you subscribed directly through TribeBoard using Stripe, deleting your TribeBoard account will automatically cancel your Stripe-billed subscription effective at the end of the current billing period. No further Stripe charges will be made after account deletion is completed. A confirmation email will be sent to your registered email address.
9. Refunds
Account deletion does not automatically create a refund entitlement. Refunds are handled in accordance with:
- TribeBoard Terms of Service v1.1
- Apple App Store refund policies (for App Store purchases)
- Google Play refund policies (for Google Play purchases)
- Stripe and direct billing policies
Applicable consumer protection laws.
South African users who subscribe directly through TribeBoard have a 5-business-day cooling-off right under the Consumer Protection Act 68 of 2008, as described in Terms of Service v1.1 §28.1.
10. Data Subject Rights
Account deletion is one way to exercise control over your personal information. Depending on applicable law, you may also have rights to:
- Access your personal information
- Correct inaccurate information
- Request deletion
- Restrict or object to processing
- Request data portability
Withdraw consent.
Privacy-related requests should be submitted to privacy@tribeboard.app. We will acknowledge requests within 5 business days and respond substantively within 30 days, in accordance with our data subject request procedures under POPIA and GDPR.
11. Deleting the App Is Not the Same as Deleting Your Account
Deleting the TribeBoard app from your device does not delete your TribeBoard account or any associated data.
To delete your account you must either use the in-app deletion option (Settings → Account → Delete Account) or submit a deletion request to privacy@tribeboard.app. The email option is accessible without having the app installed.
12. Rejoining TribeBoard After Deletion
If you delete your account and later choose to rejoin TribeBoard, you will need to create a new account. Previously deleted data will not be recoverable. TribeBoard does not guarantee restoration of deleted accounts, Child Profiles, journeys, schedules, reminders, or household records.
13. Fraud, Safety and Legal Exceptions
TribeBoard may delay or limit deletion where reasonably necessary to:
- Investigate fraud or unauthorised access
- Investigate child safety concerns
- Comply with legal obligations or respond to lawful requests
- Resolve active disputes
Protect users, children, schools, organisations, or the platform.
Where deletion cannot be completed immediately, TribeBoard will limit retained information to what is reasonably necessary and will inform you of the delay where possible.
14. Organisation and School Accounts
If your account is linked to a school, childcare provider, organisation, or enterprise account, deletion may be subject to additional verification. Some records may remain under the control of the relevant organisation where lawful and appropriate. Schools and organisations remain responsible for their own records and legal obligations.

16. Changes to This Policy
TribeBoard may update this Delete Account Policy from time to time. Material updates may be communicated through website notices, in-app notices, email, or other reasonable methods. Continued use of TribeBoard after updates become effective constitutes acknowledgement of the updated Policy.
